Before departure abroad

 

Are MENDELU forms mandatory?

No. The only exception is the LAMENDELU forms are available on the website in case the institution abroad does not have its own documents.

 

Is it possible to buy insurance from another insurer than recommended by MENDELU?

Yes, however, the coverage must be comparable or higher than that required by MENDELU. In such case, the student shall prepare a table with the comparison of insurance coverages. Such table shall be presented to the DIRI officer for Erasmus+ study stays for assessment. If the insurance is approved, the student can conclude the policy.

 

Can I pay for the MENDELU insurance by bank transfer?

No. The student must appear at MENDELU cash register with the original of the Travel Proposal confirmed by the person in charge at the faculty.

 

Can I pay for insurance at MENDELU cash register and sign the GA in one day?

Yes. But remember that the confirmed Travel Proposal is needed for the insurance. It is a good idea to make sure that both the faculty IRO officer and the person in charge at the faculty are in their offices on that day, especially in summer. It is also advisable to check the opening hours of MENDELU cash register. Bear in mind that the receipt of payment for insurance must be uploaded into the Checklists application before signing the GA, so that all the documents are complete. Otherwise, the GA cannot be signed.

 

Can I get access to more language courses within OLS?

Unfortunately, no. Each student can get only one license for an OLS course in the working or in the local language.

 

I need a confirmation of the Erasmus+ grant. Where can I get it?

The confirmation is issued by the DIRI officer for Erasmus+ study stays.

During stay abroad

 

Can I study subjects not included in the LA?

No. All subjects to be studied must be approved by the person in charge at the faculty. There have been cases where the student agreed with the coordinator abroad that he/she would study certain subjects “unofficially”. Such subjects are not included in the LA and thus are not approved by the faculty. However, the subjects appeared in the Transcript of Records at the end of the mobility, although it had been agreed with the coordinator that they would not be recorded in the Transcript. This is a serious problem: the LA (including Changes) must corresponds to the ToR. For many universities it is difficult to remove those subjects from the ToR, as it is generated from the information system. Universities cannot approve other forms (e.g. ToR on the MENDELU form) if they differ from information in the IS. This is an official document, which shall form part of the student’s diploma. It is also a problem for the home faculty to approve the new LA or Changes after the mobility, in particular if the subjects studied do not correspond to the student’s specialization. Even though the student intended to use the mobility to the maximum extent, he/she gets into a situation that is impossible to resolve and risks that his/her mobility documents are not correct. In such case, the student may be imposed to return a part of or the entire scholarship. Moreover, the “extra” subjects shall not be recognized by the faculty. Therefore we discourage students from such practice. 

 

Where to upload the “Changes to LA” in the Checklists?

To insert Changes to LA to Checklists, you must add an additional box. This is done in Events (Události), choose option Change to the Learning Agreement (Změna smlouvy o studiu) and confirm by clicking Add (Přidat) - see figure below.

After return from abroad

 

Do I have to submit the Confirmation in person?

No. You can mail the document to the DIRI officer for Erasmus+ study stays. The student is responsible for delivering the Confirmation on time. The student must appear in person only for signing the Amendment to GA in case the length of the stay changes in comparison with the original GA.

 

What happens if I fail to pass some of the subjects specified in the LA, but I obtain the required 18 ECTS credits in the specialized subjects?

In such case, the student shall not have to return a proportionate part of the scholarship. However, such subjects must be included in the final Transcript of Records (F mark) in order to maintain the concordance between the LA and ToR. In case the institution abroad does not include these subjects into the ToR, the student must address the faculty IRO officer and seek solution.

 

If I fail to earn the required minimum of 18 ECTS credits in the specialized subjects, what part of scholarship shall I return?

The amount of refund is calculated as follows: (amount of scholarship) / 18 x (No. of ECTS credits missing to reach the mandatory minimum)

Example: The student received the scholarship in the amount of EUR 2,500 and he/she obtained only 15 ECTS credits in specialized subjects. Thus, 3 ECTS credits are missing. The amount of refund of a part of the scholarship shall be 2,500 / 18 x 3 = 417 EUR. 

 

Shall I fill in final reports if my subjects studied abroad have not been recognized and I can’t answer the questions concerning recognition?

You can start completing the final reports and answer certain questions later, or wait until the recognition process is finished.
